TERMS AND CONDITIONS OF PAYMENT AND TRAVEL


GENERAL TERMS AND CONDITIONS

These General Terms and Conditions apply to the transaction between Sveriges Vandrarhem i Förening (The Swedish Hostels Association) (hereinafter “SVIF”) and you, who, on your own or through another party, is entering into an agreement with SVIF in accordance with the information stated in the booking confirmation. Such an agreement may concern housing, transport, purchase of other products and services or a combination of these.

Who is responsible for what?

Responsibility for the booking system lies with SVIF (The Swedish Hostels Association), address: SVIF, Sveriges Vandrarhem i Förening EK, Box 1112, 40523 Göteborg, organisation number: 769604-2352. Responsibility for your booking lies with the campsite or cottage provider with whom you have booked accommodation or other products/services. You should therefore address any complaints to the provider with whom you have made a booking. The contact details of the hostel, cottage or campsite with which you have booked are shown on your booking confirmation. Travel by regular means of transport may be subject to special terms and conditions. The booking organiser is required to ensure that you receive a copy of any such special terms and conditions and the necessary travel documents when you make your booking and that you are informed of all essential changes concerning your booking. If you book any products with an agent, please note that the agent is required to ensure the customer’s compliance with the organiser’s conditions and payment procedures.

When does my booking become binding?

The booking applies to both SVIF and you as soon as SVIF confirms the booking and as soon as you pay the full booking amount, as long as this takes place within the agreed time.

What am I paying for and when and to whom shall I make payment?

You are paying for the advertised booking price, plus or minus any such taxes or transportation costs as may have accrued since the programme went to print. Details of the payment deadline and beneficiary are stated in the Special Terms and Conditions.

What will happen if I fail to pay on time?

You have to pay the full cost of your booking directly through an online payment portal. You will not be issued with an invoice unless you have agreed otherwise directly with the provider himself. However, you may not insist that the provider issue an invoice.

What are the conditions if I want to cancel my booking?

Log in, using the user name and password you received when making your booking. Your user name and password are stated on the booking confirmation which was e-mailed to you just after you made your booking. Any cancellation you request will also be confirmed by e-mail. Please note that your payment will be refunded within 3–7 banking days to the card/account debited. It will appear on your bank statement under the original booking date. If any other cancellation options are available, they will be stated in the Special Terms and Conditions. All cancellations are subject to the charge specified in the Special Terms and Conditions. No refund will be paid in respect of event tickets.

What are the conditions if I only want to make changes to some details?

You cannot make changes to completed bookings. If you wish to change any details, you need to cancel the entire booking and make a totally new booking. Contact your accommodation provider before cancelling your booking in order to check that they are actually able to meet your request. Please note that it is best to make your new booking first, so that you do not forfeit your possibility of booking with the provider. Cancel your first booking only once you are certain that your second booking has been accepted and that everything is fine. Please note that your payment will be refunded within 3–7 banking days to the card/account debited. Contact details of SVIF’s accommodation providers are available on this website: www.svif.se. Where an option to change parts of the booking is available, the cost of any such change will be stated in the Special Terms and Conditions.

But what if something happens to me?

SVIF provides no cancellation cover. However, cancellation cover is included in most home insurance plans and with most payment/debit/credit cards. We would recommend that, before you make your booking, you check your home insurance or any cancellation cover provided by your card issuer to ascertain exactly what kind of insurance cover you have.

What will happen if something goes wrong?

You have the right to cancel your booking if your booking cannot be delivered, in whole or in part, as stated in the booking confirmation and if no compensation can be arranged, or if the difference between the new booking and your original one is so negligible that it fails to satisfy you (such as a hotel or cottage of the same category). In that case, you will be refunded the full amount you have paid, minus the value of any booking items which you have already used. If a transport service or an event included in the booking is cancelled at short notice, you will only receive a refund in respect of the event/transport service cancelled. Any problems that arise during your stay should be reported immediately to your hotel or the hostel or cottage warden, for example, as a first recourse. If you fail to request rectification during your rent period and thereby fail to give the hotel/warden the possibility of rectifying any deficiencies, you will not be able to claim compensation afterwards.

What will happen if I and the organiser should disagree?

Contact us directly should you have any complaints (info@svif.se). If we disagree, you can address your complaint to the Swedish National Board for Consumer Complaints. The Board consists of an impartial chairman/woman and representatives of travel organisers and consumers. The Board’s address is: Box 174, 101 23 Stockholm.

Please note that the properties we offer may have varying check-in and check-out times. Contact the accommodation you have booked for up-to-date details of the check-in and check-out times. In any case, you must inform your accommodation providers if you wish to arrive after 6 pm. Unless otherwise specified in the confirmation, the accommodation price does not include any cleaning, bed linen, towels, cots/highchairs or the like. Please remember to bring any items you require during your stay with you!

DATA PROTECTION ACT

By making your payment, you consent to your personal data being processed by SVIF. This is intended to enable day-to-day guest administration, to allow SVIF to access reliable personal documentation in the case of an accident, to fulfil the conditions of the cancellation cover and to administer and address any damage. Your details may also be used to inform you of insurance and payment services or of travel-related offers. We may also contact our guests for market research purposes.

Special conditions


Issuer and package organiser: SVIF

Minimum booking age

You have to be 18 years of age or over in order to book/enter into agreement with us. If the accommodation is to be occupied by a large party, at least two persons must be 18 years of age, unless a higher age limit has been specified in the accommodation information. You will be asked to show your ID on arrival. Compliance with the age limit is a requirement for access to the accommodation. Other age limits may apply to large party bookings and you will receive information on this when making your booking.

Cancellation fee

From the date of booking – 15 days prior to arrival: 5% of the booking price
14 - 8 days prior to arrival: 10% of the booking price
7 - 4 days prior to arrival: 15% of the booking price
3 - 0 days prior to arrival: 100% of the booking price

No refund will be paid in respect of cancellation cover, change, invoice or booking charges.

Change of travel ticket fee

A fee additional to the above charges may be payable for changes to travel tickets.

Conditions concerning transfer

You may transfer your stay or arrangements to another party, provided you do so before your date of departure. If you wish to transfer your boat or flight tickets, where your carrier’s conditions so permit, you must inform your carrier of the name of the person(s) to whom you wish to transfer them.

Booking charge, interest on late payments

No booking fee will be charged on internet-based bookings. Your booking may be cancelled if you are late paying the registration fee.

Travel tickets

Changes and cancellations of travel tickets must be made directly, in writing, to SVIF’s e-mail address: info@svif.se. In other respects, SVIF applies the terms and conditions of individual carriers.

Force Majeure

If you cannot travel because of an obstacle beyond the organiser’s control, one which the organiser could not have reasonably been expected to take into account when entering into an agreement with you and one whose consequences he could not reasonably have avoided or surmounted, the organiser will not be held liable to pay compensation and will be exempt from any other liability. The same also applies if the cancellation of your travel arrangements is due to a party engaged by the organiser or any other person previously engaged.
