GENERAL TERMS AND CONDITIONS


These General Terms and Conditions apply to Turist- & Kongressbyrån i Östersund AB (ÖSTERSUND TURIST & KONGRESS – ÖTK) and you as the person who either by yourself or via a third party has entered into an agreement with ÖTK as per confirmation. The agreement may cover accommodation, an activity or transport, or the purchase of another product or service, or a combination of any of these.

Who is responsible?

The responsible organizer is Turist- & Kongressbyrån i Östersund AB, Rådhusgatan 44, 831 82 ÖSTERSUND, Tel. +46 (0)63 14 40 01, Corporate Identity Number 556403-1606. If the products are booked via an agent, it is the agent’s obligation to ensure that the organizer’s terms and conditions and terms of payment are adhered to by the agent’s client.

When does my booking become binding?

The booking becomes binding on the part of both ÖTK and yourself as soon as ÖTK has confirmed the booking or you have paid for the booking within the time specified.

What, when and who should I pay?

You shall pay the stated price for your booking.
See Special Terms and Conditions for the time of payment and the recipient of the payment.

Card payment

You may pay by cards linked to MasterCard and VISA. The amount due shall be paid in full at the time of booking.

Security

ÖTK uses DIBS for online payments. They offer payment solutions and deal with clients’ financial information. It therefore goes without saying that security solutions are vital elements in DIBS processes and systems. In addition to PCI accreditation, DIBS has focused on secure payment solutions with 3D-Secure and the security system DIBS Defender, which it has developed itself. What happens if I want to cancel?

You can only cancel via ÖTK by phone +46 (0)63 14 40 01 weekdays Mon-Fri 09:00-17:00. Please have your booking number available. Please check your booking confirmation for more information. Your cancellation will take effect only when you receive written (e-mail) confirmation that we have received notification of the cancellation. Cancellations are subject to fees as per Special Terms and Conditions. Event tickets will not be refunded.

What happens if I want to change something?

If it is possible to amend parts of the booking, the cost of this is shown in Special Terms and Conditions.

What happens if something goes wrong?

If all or part of your booking cannot be delivered in accordance with the booking confirmation, and if no replacement arrangement can be provided which differs from that which you had booked to such a small degree as to be negligible, you shall have the right to cancel. In this event you will receive a full refund of your payment, less any deductions for the value of such parts of the booking that you may already have been able to utilise. If an event that was included in the booking is cancelled at short notice, only the amount relating to the cancelled event shall be refunded.

Errors or deficiencies that arise during your visit shall in the first instance be reported immediately to the supplier of the product (e.g. the accommodation provider or the activity organizer). If you have omitted to seek redress during your stay and therefore not given the supplier the chance to deal with any possible errors/deficiencies, you cannot demand compensation retrospectively. If you are still dissatisfied with the compensation/replacement, you must inform ÖTK of this during your stay, or alternatively by writing to us no later than within 10 days of departure.

What happens if I and the supplier do not agree?

Get in touch with ÖTK directly with any complaints. If we are not able to agree you can contact the National Board for Consumer Complaints. This consists of an impartial chairman and a number of representatives for travel organizers and consumers. The address of the board is: Box 174, 101 23 Stockholm.

What are my obligations?



PESONAL DATA ACT

In order to complete your order your personal data will be stored electronically. The information may also be used to provide you with information about insurance and payment services, as well as travel related offers. The guest may also be contacted for market research purposes.

Anyone who wishes to obtain information about the data that is kept on register can apply for this information in accordance with Section 26 of the Personal Data Act. Please notify ÖTK in writing if you wish to amend or have you data removed from the client register.

SPECIAL TERMS AND CONDITIONS



Minimum age for reservations

In order to book/enter into an agreement with ÖTK, clients must be 18 years of age or over. For accommodation reservations for larger groups, at least two people must be aged 18 or over, unless a higher minimum age limit is given in the information for the respective establishments. Proof of identity will be required on arrival. Gaining access to the accommodation is conditional on meeting the minimum age requirement.

Payment

Payment should be made in full at the time of booking. Card payment is the only accepted method of payment. When making a booking by telephone via Östersund Turist & Kongress you must pay the full payment via a link that is attached to your e-mail confirmation within three days of receiving the confirmation.

Cancellation costs

If the booking is cancelled more than 15 days prior to arrival, there is no cancellation charge.

Cancellations made between 14 and 3 days prior to arrival are charged at 20% of the price of the booking.
Cancellations made within 2 days of arrival are charged at 75% of the price of the booking.

Any fees/amendment fees are not refunded.

Certain products may be subject to other cancellation terms; these are detailed separately in the confirmation.

Amendment fee

SEK 150 per booking and amendment. In addition to this fee, there may be additional costs for changing travel tickets.

Other terms and conditions for accommodation bookings

Arrival/Departure
Arrival: No earlier than 15:00 on the day of arrival
Departure: No later than 12:00 on the day of departure

Cleaning self-catering accommodation
The cottage should be cleaned prior to departure and all utensils/equipment that has been used should be washed up.

Other
You must take good care of the cottage and follow the applicable rules and regulations. As the person who made the booking you are personally responsible for any damage caused to the property or its contents through your own negligence or that of someone in your party. Any breakages or damages are to be settled prior to departure.

Force Majeure

In the event that the trip cannot take place because of an occurrence beyond the organizer’s control which the organizer could not reasonably have been expected to take into account when entering into the agreement, and the consequences of which the organizer could not reasonably have avoided or overcome, the organizer is discharged from liability for damages or other sanctions. This also applies if the cancellation of the trip is due to someone whose services the organizer has enlisted, or a service provider at an earlier stage in the chain.

ÖTK reserves the right to implement any legislative changes or price changes which are beyond ÖTK’s control.
